Zoho Creator has integrated an easy-to-use QR Code and Barcode Generator that allows you to generate QR codes and barcodes directly within your applications. The QR/Barcode field in Zoho Creator enables users to easily generate scannable QR codes or barcodes from text, numbers, or data fields, simplifying the process of storing, tracking, and sharing information within applications. These codes can be utilized across Creator in reports, print templates ,or as email attachments. QR/Barcodes generated are not shown on forms, it is visible only on the Reports.
KEY BENEFITS OF USING QR/BARCODE GENERATOR:
- Effortless Data Encoding: Convert your field data (including combinations of multiple form fields) into QR codes or barcodes for quick sharing and easy access.
- Real-Time Tracking: Automatically track items, products, or visitors when scanned in real-time, ensuring data accuracy.
- Customization options: Allows you to adjust character limits, encoding types, and formats to fit your specific use case and ensure compatibility with various scanners.
- Multiple Barcode Formats: Select from a range of barcode formats to meet your specific requirements.
- Time-saving integration: Reduces manual data entry, streamlining information sharing across systems.
- Flexible usage: Implement scannable codes in reports, print templates, emails, and various other applications within Creator.
How Does It Work? Step-by-Step Guide
QR/Barcode field creation flow

- Add the Field: Simply drag and drop the QR Code / Barcode Generator field from the builder into your form or report.
- QR/Bar Code input: Upon adding the QR/Barcode field to the form builder, an input pop-up will be displayed. To set input data for QR/Barcode fields in Zoho Creator, first, select the appropriate code type (Barcode or QR Code) and input data format.
For barcodes, choose a barcode type (EAN 8, EAN 13, UPC-A, UPC-E, or Code 128) and select a source field (typically a single-line field) for the barcode to be generated from, with the exception of Code 128, which requires manual data input.
For Code-128 enter the input Data based on which the barcode will be calculated and generated in your report. You can also insert form fields by clicking Insert fields(similar to QR code, refer below) - For QR codes, enter static values or dynamic form fields using “Insert Fields,” ensuring compatibility with supported field types. The input data can be a mix of static text and dynamic fields, such as ${Single_ Line} or ${Date_ field}.
Once the QR Code is selected as the code type, you can define the character limit in the Field Properties pane on the right. By default QR code only supports upto 255 characters.
4. Generate the Code: Once the form is submitted or the data is entered, the corresponding barcode or QR code is automatically generated for you!
5. Scan and Retrieve Data: Use scanners or mobile devices to scan and retrieve the encoded data.
Real-Life Use Cases:
- Inventory Management: Easily track products in your warehouse by generating and scanning barcodes.
- Event Check ins: Quickly check-in attendees by scanning QR codes from their registration confirmations.
- Product Tracking: Assign QR codes to products and track their journey in the production process.
- Healthcare: In healthcare, barcodes can be used to accurately track medications, manage medical inventory, and reduce errors in patient identification and treatment documentation.
IMPORTANT LIMITATIONS & RESTRICTIONS:
- Limited Barcode Fields: Certain field types (e.g. Rich Text, Users, Subform, Prediction, Keyword Extraction, Sentiment Analysis, Object Detection, OCR, AR, Formula) cannot be used with QR/Barcode fields.
- Input Restrictions: Only two QR/Barcode fields are allowed per form.
TROUBLESHOOTING TIPS AND KEY POINTS FOR QR/Barcode GENERATION:
When using QR/Barcode fields in your application, keep the following points in mind to ensure successful generation:
- Visibility: QR/Barcodes will not appear in the form but will be visible in the reports.
- Barcode Validity: To create a valid barcode, ensure the input adheres to the barcode type’s specific rules, including required length, allowed characters, and a valid check digit (usually the last digit).
- Check Digit: The final digit, known as the check digit, ensures the barcode’s accuracy and correct scanning.
- Input Compliance: Avoid common mistakes such as leading zeros, unsupported characters, or extra spaces, as they can result in errors during generation.
- Character Limit: Make sure the input matches the required character limit for the selected code type.
- QR Code Versatility: If unsure about barcode selection, QR codes are a flexible option that supports a wider range of characters.
- Complete Fields: Ensure all input fields are properly filled to avoid missing data during barcode generation.
