Duplicate contacts in your CRM can lead to confusion, wasted time, and even duplicate communications. Luckily, Odoo’s Contacts app makes it easy to merge duplicate contacts—so your data stays clean, and your teams stay efficient.

In this guide, we’ll show you how to merge contacts in Odoo, how to safely review them before merging, and how to use the deduplication tool to automatically find potential duplicates.

How to Manually Merge Duplicate Contacts

  • Go to the Contacts app.
  • Switch to List View by clicking the list icon in the top-right.
  • Select the checkboxes for two or more duplicate contacts.
  • Click the Actions dropdown at the top of the screen.
  • Choose Merge.

 

 

This opens the Merge Contacts pop-up.

  • Review each contact’s details carefully.
  • If one shouldn’t be merged, click the trash icon to remove it from the list.
  • In the Destination Contact field, choose which contact will be kept as the primary one (by default, it’s the one created first).
  • Click Merge Contacts to complete the process.

 

How to Use the Deduplication Tool

 

After merging contacts manually, a confirmation popup appears with an option to Deduplicate the other Contacts. This tool helps you automatically detect, and merge duplicate contacts based on specific fields.

To use it:

  • Click Deduplicate the other Contacts.
  • In the Deduplicate Contacts pop-up, select the fields you’d like to match against (e.g., Email, Name, Company).
  • You can also exclude contacts based on criteria like:
    • Linked user accounts
    • Related journal items
  • Choose one of the following:
    • Merge with Manual Check – You review each match.
    • Merge Automatically – Odoo merges them right away.
    • Merge Automatically all process – Same as above, applies across all data.

Tips for Managing Leads and Opportunities

  • Always double-check before merging—merges cannot be undone.
  • Use fields like VAT and Email to accurately identify duplicates.
  • Use Manual Check mode if you’re unsure about automatic merges.
  • Schedule regular deduplication checks to keep your contact list clean.
  • Consider assigning contact ownership before merging to prevent confusion.
