With Odoo, creating and sending quotations is fast, easy, and completely integrated into your sales workflow.

How to Create a Quotation in Odoo CRM

 

To get started:

  • Go to the CRM
  • Click on any opportunity in your pipeline to open its detail view.
  • Click the New Quotation button at the top-left.

 

How to Link or Create a Customer

If no customer is linked yet, you’ll see a pop-up with three options:

 

  • Create a new customer using the opportunity info.
  • Link to an existing customer by selecting from the dropdown.
  • Do not link to a customer (if customer details are not needed).

Choose an option and click to proceed to the quotation form.

 

How to Fill Out Quotation Details

 

In the quotation form, update key fields like:

  • Customer
  • Invoice Address and Delivery Address
  • Quotation Template (optional)
  • Expiration Date and Quotation Date
  • Recurring Plan (for subscriptions)
  • Pricelist and Payment Terms
  • Referrer (if someone referred this customer)

Expiration Date is auto-filled based on system settings

To change default quotation validity:

  • Go to Sales → Configuration → Settings → Quotations & Orders.
  • Update Default Quotation Validity.

How to Add Products to a Quotation

 

In the Order Lines tab:

  • Click Add a product.
  • Search and select from the product catalog.
  • Update the Quantity, and adjust pricing if needed.
  • Click the 🗑️ icon to remove a line.

 

You can also:

  • Click Add a section to group products.
  • Use the Catalog button for quick, bulk product selection.

After adding items from the catalog, click Back to Quotation to return to the quote.

 

How to Preview and Send a Quotation

 

To preview:

  • Click the Preview button to view the quote in the Customer Portal.
  • Click Return to edit mode to make changes.

To send:

  • Click Send by Email.
  • A pop-up appears with a pre-filled message and the quote attached as a PDF.
  • You can select or edit the email template.
  • Click Send to deliver it to the customer.

The email and PDF are automatically logged in the Chatter.

 

How to Mark an Opportunity as Won or Lost

 

After a customer responds:

  • Open the opportunity via the CRM → My Pipeline.

To mark as Won:

  • Click the Won A green banner will appear.

To mark as Lost:

  • Click Lost.
  • Choose a Lost Reason or create a new one.
  • Optionally, add notes.
  • Click Mark as Lost.

Lost opportunities are hidden by default. Use the pipeline filter to show “Lost” or “Archived” records.

  • Always add or link a customer before sending.
  • Use quotation templates for consistent branding.
  • Customize expiration dates based on your sales cycle.
  • Use Lost Reasons consistently for better pipeline analytics.
