Why Use Quotation Templates?

 

Creating reusable templates in Odoo enables businesses to speed up the quoting process by having predefined offers for common products and services. It simplifies the creation of quotations, enhances consistency, and ensures accuracy when dealing with recurring clients or product/service offers.

 

Enabling Quotation Templates

 

Before you can create quotation templates, you need to activate the feature in your Odoo Sales app. To do this:

  1. Navigate to Sales App Configuration Settings.
  2. Scroll to the Quotations & Orders
  3. Tick the checkbox for Quotation Templates.
  4. After enabling, a new field named Default Template will appear, where you can select a default quotation template.
  5. Click Save to save your settings.

Once enabled, a link to Quotation Templates will appear, allowing you to manage, create, and edit templates directly from the settings page.

 

Creating a New Quotation Template

 

Follow these steps to create a new quotation template:

  1. Go to Sales App Configuration Quotation Templates. Alternatively, you can click the Quotation Templates link on the settings page after activating the feature.
  2. On the Quotation Templates page, click New to create a new template.
  3. You’ll see a blank form where you can enter the details of your new template.

 

Key Fields in the Quotation Template Form:

  • Quotation Template: Name your template for easy identification.
  • Quotation Validity: Set the validity of the quotation template in days. You can leave it as 0 to make it valid indefinitely.
  • Confirmation Mail: Choose a pre-configured email template that will be sent to customers once the order is confirmed. You can create a new email template directly from this field by typing its name and selecting “Create” or “Create and Edit.”

Tip: If you want to create a new email template from scratch, select Create and Edit, which will open the email template editor right away.

  • Company: If working in a multi-company environment, select the company this template applies to.
  • Invoicing Journal: Select a specific journal to use for invoicing orders that use this template. If left empty, the sales journal with the lowest sequence will be used.

If you have activated the Online Signature and Online Payment options in Odoo’s settings, you can also enable these features in your template:

  • Online Signature: This option will request an online signature from the customer to confirm the order.
  • Online Payment: This will require an online payment (either full or partial) from the customer. If selected, a field will appear to specify the percentage of payment.

Lines Tab

 

The Lines Tab lets you add and organize products in your quotation template.

  1. Click Add a Product to select products from the database. You can also type the product name to search for it.
  2. The default quantity will be set to 1, but you can adjust it as needed.
  3. To organize your products, click Add Section. This allows you to group similar products or services under a header.
  4. Add a Note allows you to add custom information, such as warranties or terms, for specific products.

You can reorder the product lines, sections, and notes by dragging and dropping them.

 

Optional Products Tab

 

The Optional Products Tab is used for cross-selling products. These are additional items that can be offered along with the primary product to increase sales.

  1. Click Add a Line to add related products.
  2. Select the product from the drop-down list.
  3. Optional products are displayed at the bottom of the quotation and can be added by the customer during the ordering process.

Terms & Conditions Tab

The Terms & Conditions Tab allows you to add standard terms for the quotation template. While not mandatory, adding terms can help clarify business policies and protect both parties.

  1. Enter your terms and conditions in the provided field.
  2. These terms will automatically appear on every quotation generated from this template.

Finalizing and Using Quotation Templates

 

After you’ve set up all the necessary details, Save your template. When creating a new quotation, you can now select this template from the Quotation Template field.

  1. Go to Sales App New to create a new quotation.
  2. Select the desired template from the Quotation Template
  3. The products, sections, notes, and terms from the template will auto-populate into the quotation form.

Preview: You can preview how the customer will see the quotation by clicking the Preview button. This gives you a chance to ensure everything looks good before sending it out.

 

Additional Tips

 

  • Mass Cancel Quotations/Sales Orders: If you need to cancel multiple quotations or sales orders, simply navigate to the Quotations dashboard, select the quotations you wish to cancel, and click Actions > Cancel Quotations.

This feature is useful for cleaning up canceled or outdated quotations in bulk.
