  • Referrer: If the customer was referred by someone, select the referrer from the dropdown list.
  • Commission Plan: If a referrer is selected, a commission plan can also be associated with the Commission.

Additionally, you can choose a Quotation Template to apply pre-configured settings to this quotation. The Expiration date is auto filled based on the default validity period configured in your settings.

 

Step 5: Adding Products and Services

 

In the Order Lines tab, you will add the products or services to be quoted:

  • Add a product: Select the product from the product catalog and adjust the quantity.
  • Catalog: Open a full catalog view, organized by product category, and select items directly.

You can also group products into sections to organize them better or add custom notes for each product.

 

Optional Products

 

Under the Optional Products tab, you can suggest additional items related to the main products, which could encourage the customer to purchase more items.

 

Step 6: Configuring Additional Information

In the Other Info tab, you can configure various settings such as:

  • Sales Section: Assign a salesperson, sales team, and the company for this quotation (if you are working in a multi-company environment).
  • Online Signature and Payment: Request an online signature or set up online payments for prepayment confirmation.
  • Delivery Section: Define shipping-related fields such as Incoterm (International Commercial Terms), shipping policy, and delivery date.
  • Invoicing Section: Select the fiscal position and analytic account for the quotation.
  • Tracking Section: Track the source of the quotation, such as the opportunity in CRM or the marketing campaign that generated it.

Step 7: Sending the Quotation

 

After configuring the quotation, you are ready to send it to the customer. The following options are available at the top of the quotation form:

  • Send by Email: Click to send the quotation via email. The customer receives a PDF attachment of the quotation.
  • Send Pro-Forma Invoice: If enabled, you can send a pro-forma invoice to the customer before confirming the order.
  • Preview: View what the customer sees when they access the quotation in their customer portal.
  • Confirm: When the customer agrees to the quotation, click Confirm to convert it into a sales order.
  • Cancel: Cancel the quotation if no longer needed.

 

Step 8: Confirming the Quotation

 

Once the customer accepts the quotation, it can be confirmed. Upon confirmation, the quotation status changes to “Sales Order,” and the order becomes official. This triggers the invoicing and delivery processes.
