User Roles in Zoho Analytics

 

There are five main user roles in Zoho Analytics:

 

  1. Account Administrator
  • Owns the Zoho Analytics account
  • Has full control across all features and settings
  • Can:
    • Create organisations and workspaces
    • Build reports and dashboards
    • Manage users and roles
    • Share data
    • Handle subscriptions

✅ Only one Account Administrator is allowed per account.

  1. Organisation Administrator
  • Manages everything within a specific organisation
  • Has access to all workspaces under the organisation
  • Can:
    • Create and manage reports
    • Add users
    • Share dashboards
    • Manage workspace settings
  1. Workspace Administrator

(Previously known as Database Owner)

  • Administers one or more specific workspaces
  • Can:
    • Edit and manage data in assigned workspaces
    • Share views with others
    • Create reports and dashboards
  1. User
  • Has access only to content explicitly shared with them
  • Can:
    • View and interact with shared reports
    • Use the account through their own Zoho login
    • Access shared dashboards and workspaces depending on their permission
  1. Viewer
  • Has read-only access to views shared by an Administrator or User
  • Cannot:
    • Modify, share, or create reports
    • Access data outside of what’s shared

Ideal for executives or clients who only need to view dashboards

Tips

  • Use Workspace Admins to delegate control without full access
  • Assign Viewers for safe report sharing without edit rights
  • Upgrade to the Standard plan or above to unlock admin roles
  • Keep access limited based on need-to-know
